Refund Policy
Topsfield Athletic Association
Effective Date: 1-1-2026
1. Purpose
This Refund Policy establishes clear and consistent guidelines for issuing refunds for registration fees, program costs, and related expenses for participants in Topsfield Athletic Association programs. As a nonprofit organization, our goal is to balance fairness to families with the financial sustainability of our programs.
2. General Policy
Registration fees help cover fixed costs such as uniforms, facility rentals, insurance, equipment, and administrative expenses. Because many of these costs are incurred before or at the start of a season, refunds are limited and subject to the terms below.
3. Refund Eligibility
A. Full Refunds
A full refund (minus any non-refundable processing fees) will be issued if:
- The request is made before the registration deadline, OR
- The participant is unable to be placed on a team due to capacity limitations, OR
- The program is canceled by the association.
- Or otherwise approved from TAA President.
B. Partial Refunds
A partial refund may be issued if:
- The request is made after the registration deadline but before the first scheduled practice or game.
- The participant withdraws due to a documented medical reason (doctor’s note required).
- The participant relocates out of the area before the season begins.
- Or otherwise approved by TAA President
Partial refunds will typically deduct:
- Registration fee NOT service fees.
C. No Refunds
Refunds will not be issued if:
- The participant withdraws after the season has begun
- The participant is removed due to disciplinary reasons
- The participant voluntarily chooses not to attend practices or games
- Weather-related cancellations or schedule changes occur (unless the entire season is canceled)
4. Special Circumstances
The association understands that unique situations may arise. Requests for exceptions due to extenuating circumstances (e.g., serious injury, family emergency) will be reviewed on a case-by-case basis by the TAA Board or designated committee. Approval is not guaranteed.
5. Refund Request Process
To request a refund:
- Submit a written request via email to: [email protected]
- Include:
- Participant’s name
- Program/season registered for
- Reason for refund request
- Supporting documentation (if applicable)
All requests must be submitted within 5 days of the applicable event (registration, season start, etc.).
6. Processing Time
Approved refunds will be processed within 2–4 weeks of approval. Refunds will be issued using the original form of payment whenever possible.
7. Non-Refundable Fees
The following fees are non-refundable:
- Payment processing/transaction fees
- Late registration fees
- Tryout or evaluation fees (if applicable)
8. Policy Acceptance
By registering for any program with Topsfield Athletic Association, participants and their guardians acknowledge and agree to this Refund Policy.
